When does this statement apply?


This Privacy Statement applies when you visit our websites or interact with our employees. By visiting our websites or interacting with our employees, you consent to the collection and use of personal information as described in this Privacy Statement.

What data do we collect?


We collect your data in order to perform and improve our services and to inform you about our activities, our promotions or products and services purchased by you. You pass on some of this data directly to us – for example via forms on our website, with your business card, with your orders or in your e-mail traffic with us, or we obtain this data via cookies on our websites.
We distinguish different types of personal data. They allow us to present and offer our products and services:

  • User data: allows us to identify or contact you. For example: your name, your address, your telephone numbers, your language preference, your gender, your e-mail addresses, your participation in our promotions, your use of our websites, your company, your position;

Why do we collect this data?



We process personal data for various reasons, each time only processing the data that is necessary to achieve our purpose. With your consent, insofar as this is required, we collect personal data for the following concrete purposes:


To handle your inquiries about our products and services.


If you visit our websites or contact our employees to collect or request information about our products and services or if you sign up for our newsletter, for example, we need your address details. We use any information we then receive about you to provide you with the requested information, in the manner you specify.


To provide you with the best service.


We keep your data to improve our customer service. If we want to set up, maintain and support our products and services correctly, we need that data. This way we can also contact you for the next step in our collaboration or to ask for feedback on our services. If there are technical problems or malfunctions on our part, we must be able to inform you.


To inform you about our products, services and activities.


We can use your data to inform you about existing and new products, services, special promotions, workshops, events, vacancies and others, to do direct marketing or to create a profile about you so that we can inform you about matters which we think may be of interest to you. Who manages your data?



All personal data is managed by ActiveMind. Within ActiveMind, the data is only accessible to persons who need access to it in function of their duties.

We use external processors. This means, among other things, that we temporarily pass on data to third parties for certain tasks if we do not have the resources to do so ourselves. If we do, we will always ensure that your data is treated confidentially and used in a secure manner. We always record this contractually with the processors. For example, a processor will never be allowed to use your data on its own initiative and your data must be deleted as soon as a processor has completed its assignment.


We may pass on your personal data to our possible legal successors and affiliated companies such as subsidiaries and sister companies, for the same purposes as stated in this Privacy Statement. For some aspects of our products and services, we work with third parties or engage subcontractors/partners. The transfer of your data only takes place for the same purposes as with ActiveMind itself. We ensure that they, just like us, manage your data safely and respectfully.


In some cases, we use anonymous, aggregated data for commercial purposes or for external reporting. This data can never be traced back to a specific individual.


At no time do we sell or rent your information to companies or individuals that are not part of our company or group. We consider your data confidential information.


If we would otherwise provide personal data to third parties, this will be done with an explicit communication, in which an explanation is provided about the third party, the purposes of the transfer and processing. Where required by law, we ask for your express consent. You always have the option to object.

How do we secure your data?



We protect your personal data and privacy to the maximum. Our employees are trained to handle confidential data correctly. We purchase specialized services that ensure the security of our IT infrastructure. In addition, we use all kinds of technical measures to protect your personal data. Should a data breach occur with adverse consequences for your personal data, you will be personally notified in the circumstances provided for by law.


Our websites sometimes provide links to third-party sites whose terms of use do not fall within the scope of this Privacy Statement. Please read carefully their policy regarding the protection of your personal data.


View, correct or delete data?



You have the right to access your data. You can ask us whether we process your personal data; what we process it for; which categories of data we process; with which categories of third parties we share your personal data; what is the origin of the processed data and what logic we use if we were to automatically process certain personal data.

This period starts when we have received your request in writing and have all the information required to fulfill your request.

In order to exercise your right of access and to prevent any unauthorized disclosure of your personal data, we may ask you for proof of your identity.

You also have the right to have incomplete, incorrect, inappropriate or outdated personal data removed or changed. You can always contact us by e-mail or by post. We will then adjust this information if necessary within the legally established periods. Please note that sometimes, depending on your request, we may no longer be able to provide you with some services. We are also not always able to delete all requested data, for example because we are legally obliged to keep data for a certain period. To keep your information up-to-date, we ask you to notify us of any changes.

No direct marketing?



You always have the right, without giving any reason, to object to the use of your personal data for direct marketing. You can always contact us by e-mail or by post.

How long do we keep your personal data?



We ensure appropriate organizational and technical measures to protect personal data. We may not retain personal data for longer than is necessary to achieve the purpose for which we collect it. The retention period can therefore differ per purpose and can sometimes be very short. After the applicable retention periods have expired, personal data will be completely anonymized or deleted.
